Equipment Disposals
Computers containing data and software and equipment containing the refrigerant "FREON" need to be prepped before we can pick them up for disposal or recycling.
Computers
Before submitting a Materiel Management Service Request (MMSR), departments must make a formal request to the Office of Technology Services (OTS) to have them remove data and software. OTS will tag the unit once they have serviced it. Departments should never abandon university property, especially computers, because they are relocating and no longer need them.
IMPORTANT: When submitting the MMSR for computer disposals please indicate by checking the box provided that the computer(s) have been prepped for disposal according to University policies. We will not schedule service if this certification is not on the form. Monitors, keyboards, speakers and mouse units must be counted and included in the disposal request. Each CPU must show a property tag number. If none is visible, a serial number will be required. Make and model of computers must be shown on the MMSR form.
Departments and the individual(s) signing off as the "Authorized Signature" on the disposal are responsible for assuring that computers are properly prepped before disposal. Disposing of computers with software and/or personal or research data still on hard drives creates potential legal liability for the University and the individual in the department signing off on the disposal.
Computer Exchange Program
If you request that our crew retrieve old computers from individual offices, our response time may be longer than the ten work day turn-around time for disposals. Collecting old computers in one location will expedite your request.
Refrigerators and Air Conditioners
Before submitting an MMSR for disposal, departments must contact the Office of Environmental Health and Safety (EH&S) to remove Freon from refrigeration equipment.
IMPORTANT: When submitting the disposal MMSR to us please indicate in the special instructions area that the EH&S office has cleared and tagged the unit.

Fire Code Violations
Materiel Management may charge departments who request immediate response for removal of items due to fire code violations. It is against the law to place items in hallways, under stair-
wells or create a hazardous environment to the university community or the general public.
Available Surplus Property
University surplus property is available only to TU departments, other USM institutions, other state agencies, other government entities, and other not-for-profit organizations (such as schools, churches and charities), in that priortiy order.

Summer Schedule
May through August are our busiest months. Major renovations and office moves are regularly scheduled for the slower summer months. We ask that you plan ahead if you are going to need our moving and disposal services during these months. Disposal services generally have a ten work day turn-around time and moving a few items (i.e. a desk, bookcase, computer) has a two to three work day turn-around. Requests submitted after August 15 , may have a longer response time.
December Schedule
Plans to relocate offices or move large amounts of furniture or equipment during the month of December require at least a ten work-day prior notice in order to avoid conflicts during normal university closings. Timely communication with our office is strongly advised during this period.
Contact us immediately if you are planning a large office move. Depending on the scope of the project, we may need to bring outside moving contractors or hire temporary staff and there may be charges to your department . Advance notice to us ensures that your project and move will receive the attention it deserves, get done when you need it and may help to minimize cost.

Services affected by the elements will be rescheduled based on priority.
