A WebEx host account will be active for one academic
semester which includes the Fall, Spring, Summer,
and Minimester. Faculty members interested in
obtaining an OTS sponsored WebEx account must
contact the Department Chair or the College’s
Assistant Dean one semester before actual use. WebEx
accounts are deactivated one week after the
submission of grades.
A WebEx account allows users unlimited meetings and
monthly VOIP allowances of 25,000 minutes. WebEx
account holders should monitor their usage of VOIP
to avoid overage charges. For instructions on how
to monitor your VOIP usage, please see the document
titled
WebEx: Tracking VOIP Usage below.
Departments who wish to use WebEx for meeting
purposes, should forward a request to
webex@towson.edu.

WebEx: Orientation Video
This video will orient you to the WebEx
environment. Topics include how to obtain a
host account, technical requirements to use
WebEx and the components of the WebEx
environment. The video will also take you
through the steps to share the whiteboard, a
file (including video), an application, the
web browser and the desktop. Note: You will
need a copy of Microsoft Silverlight to view

WebEx: The
Training Session Window
The session window is where participants
interact with the host in a training
session. In this window, you may share
documents, presentations, and the desktop.
You may also chat, use polls, conduct
Question and Answer session and more. This
self-help document will introduce you to the
pieces of the session window. It will also
give you an overview of how to use the basic
pieces of the session window.
WebEx: Scheduling a Training Session
A training session allows you to share
documents, your web browser, your desktop,
software applications and more. This
self-help document will guide a you through
the necessary steps to schedule a WebEx
training session. Before you can schedule a
WebEx session, you must have received a user
name and password from your department
chair.
WebEx: Breakout Sessions
A breakout session is a private content
sharing session between two or more
participants. You may manually assign
attendees to a breakout session or have
WebEx automatically assign attendees for
you. This self-help document will give you
an overview of how to create a breakout
session in both manners.
WebEx: Creating a New Test
The Testing feature in WebEx allows the host
to create, deliver, manage, score, grade and
track each attendee’s performance. This
self-help document will show you how to
create and add a test to a scheduled
training session.
WebEx: Icons in the Participants Panel
The participants panel lists those persons
in attendance at a training session. Within
this panel, there are a multitude of icons
that are available for use. This self-help
document will identify each of these icons
and their usage.

WebEx: Tracking VOIP Usage
To ensure that you do not exceed the
allotted VOIP allowance, monitor your VOIP
usage via monthly meeting reports. This

You can generate a Usage Report that
provides information about each online
training session that you have hosted on
your site. You may also export this date to
Excel for a more printer-friendly format.

Before beginning to use WebEx, take a few
moments and read through this document of
best practices (tips). This compiled list
was put together by faculty members and
staff who have used WebEx during the pilot
program. These tips may save you time and
energy.
WebEx: Polling Attendees
In a WebEx training session, one can poll
attendees by presenting them with a
questionnaire. This tool can be useful in
acquiring attendee feedback or testing
attendee knowledge. This self-help document
will take you through the steps necessary to
create, edit, open, share, and answer polls.
WebEx: Recording a
Training Session
When you are hosting a WebEx training
session, it is possible to record the
session for later use. This self-help
document will take you through the steps
necessary to record, view and share WebEx
training sessions.
WebEx: Converting .WRF to .WMV
WebEx recordings are initially saved as
WebEx Recorder Files (.wrf). This file type
is specific to WebEx software. To save your
file into a more universal Windows Media
Video (.wmv) using the WebEx Editor, follow
these steps.
WebEx: Recording Sessions from your Desktop
WebEx offers its users the ability to record
a session for playback at a later date.
WebEx also offers recording software for
recording actions on your desktop for use
outside of a WebEx meeting. This document

Circle. We recommend that you copy and
forward the content of the message in this
self-help document to your students via
email, syllabus, or Blackboard.
WebEx: Release Form
Faculty using WebEx who intend to record
their meeting sessions should provide a copy
of the Instructional Lecture Capture Release
Statement to their students and obtain their
consent prior to recording. The release
statement can be distributed by adding it to
the course syllabus, meeting invitation, and

download a recording and convert the file to
