Staff Host Information

 Departments who wish to use WebEx for meeting purposes, should forward a request to webex@towson.edu.

WebEx: The Meeting Session Window  
The meeting session window is where participants interact with the host in an on-line meeting. In this window, you may share files, your desktop, and applications. This self-help document will give you an overview of the meeting session window.

WebEx: Scheduling a Meeting using the Quick Scheduler
The Quick Scheduler is used to set up a basic just in time meeting (within 15 minutes of your start time). This self-help document will show you how to set up a meeting using the Quicker Scheduler.

WebEx: Schedule a Meeting using the Advanced Scheduler  
You may schedule a WebEx meeting using either the Quick Scheduler or the Advanced Scheduler. The Quick Scheduler is used to set up a basic just in time meeting. If you wish to set up a meeting in advance and possibly add additional options, use the Advanced Scheduler. This self-help document will show you how to set up a meeting using the Advanced Scheduler.

WebEx: Scheduling An Audio Meeting
Instead of scheduling an online WebEx meeting, you may wish to have an audio-only WebEx meeting. WebEx allows you to set up a meeting that begins as audio only, but also allows you to begin an online piece if you so desire. This self-help document will show you how to set up an audio conference called a WebEx Personal Conference.

WebEx: Sharing Resources
During a WebEx session, the host has the ability to share resources with attendees.  This document will take you through the process of sharing documents, applications, your computer desktop, whiteboards, and web content.

WebEx: Tracking VOIP Usage
To ensure that you do not exceed the allotted VOIP allowance, monitor your VOIP usage via monthly meeting reports. This self-help document will walk you through how to track your VOIP usage.

WebEx: Generating a Usage Report
You can generate a Usage Report that provides information about each online training session that you have hosted on your site. You may also export this date to Excel for a more printer-friendly format. This self-help document will show you how to generate and export this report

WebEx: Best Practices (Tips)
Before beginning to use WebEx, take a few moments and read through this document of best practices (tips). This compiled list was put together by faculty members and staff who have used WebEx during the pilot program. These tips may save you time and energy.

WebEx: Recording a Meeting
When you are hosting a WebEx meeting, it is possible to record the session for later use. This document will take you through the steps necessary to record, view, and share a WebEx meeting.

WebEx: Converting .WRF to .WMV
WebEx recordings are initially saved as WebEx Recorder Files (.wrf). This file type is specific to WebEx software. To save your file into a more universal Windows Media Video (.wmv) using the WebEx Editor, follow these steps.

WebEx: Recording Sessions from your Desktop
WebEx offers its users the ability to record a session for playback at a later date. WebEx also offers recording software for recording actions on your desktop for use outside of a WebEx meeting. This document will show you the step by step processes for both recording a WebEx session and using the WebEx Recorder software.

WebEx: Starting a Meeting
Once you have scheduled your meeting, you must start the meeting. Your attendees will not be able to enter the meeting until you start it. This self help document will take you through the steps required to start your WebEx meeting.

WebEx: Joining a Meeting via the iPad
WebEx gives users the ability to join a meeting via their iPad. This document will show you how to install the WebEx app and how to join the meeting.
