Reappointment, Promotion, Tenure and Five-Year Comprehensive Review of Tenured and Tenure-Track Faculty, Faculty Review Actions By Year and Calendar

  1. Faculty Review Action By Year

    Faculty in Year 1

    • Reappointment to Year 2
    • Any non-reappointment notification conveyed by Mar 1

    Faculty in Year 2

    • Reappointment to Year 3
    • Any non-reappointment notification conveyed by Dec 15

    Faculty in Year 3

    • Third Year Review
    • Reappointment to Year 4
    • Any non-reappointment notification conveyed by Aug 1

    Faculty in Year 4

    • Reappointment to Year 5
    • Any non-reappointment notification conveyed by Aug 1

    Faculty in Year 5

    • Reappointment to Year 6

    • Mandatory Review for Tenure/Promotion to Associate Professor

    • Promotion to Full Professor Review (where applicable, comprehensive five-year review may be waived upon successful promotion vote)

    Faculty in Year 11 and every five years thereafter.

    • In addition, all faculty shall be reviewed annually for merit
  2. Calendar

    The First Friday in May

    • Department and college PTRM committees finalized.

    May 31

    • Annual review portfolios due (used for merit review of all faculty).

    June

    Third Friday in June

    • Faculty members submit evaluation portfolios to department chairperson for review for reappointment (all tenure-track faculty except those in year 1), promotion, tenure, and comprehensive five-year review.
    • If necessary, faculty submit to department chairperson a list of at least three (3) additional faculty members to be included on department tenure/promotion committee.
    • Faculty members with negative 5-year comprehensive review obtain final approval from department chairperson and dean of written professional development plan.

    August 1st (USM mandated)

    • Tenure-track faculty entering third or later Academic Year of service notified in writing of non-reappointment to subsequent Academic Year of service.  Faculty notified of non-reappointment shall remain on the faculty for the duration of the Academic Year that begins the August in which faculty member is notified of non-reappointment. 

    September

    First Friday

    • Department chairperson approves list of additional faculty members to be considered for inclusion in department tenure and/promotion committee.

    Second Friday

    • UPTR committee chairperson notifies Senate Executive Committee of UPTR committee membership.

    Third Friday

    • Eligible faculty notify department chairperson of intent to submit materials for promotion and/or tenure in the following Academic Year.
    • Final date for faculty to forward to department chair documentation for inclusion in tenure and/or promotion portfolios pertaining to work completed before June 1.  
    • First year faculty members finalize Statement of Standards and Expectations for New Tenure-Track Faculty (SENTF) with department chairperson.
    • As applicable, college PTR committee approves faculty members to be added to department PTR committees.

    Fourth Friday

    • Deans notify Provost of faculty members who have intention to be reviewed for promotion and/or tenure in the following Academic Year.

    October

    Second Friday

    • Department PTR committee chairperson submits to department chairperson and faculty members under review recommendation and vote counts for reappointment (faculty in years 2-5), promotion, tenure, or comprehensive five-year review and adds recommendations to evaluation portfolios.
    • As applicable, college PTR chairperson submits to UPTR committee chairperson revisions to College PTR document.

    November

    First Friday

    • Department chairperson submits to dean and faculty members under review recommendation for reappointment (faculty members in years 2-5).

    Second Friday

    • Department chairperson submits to dean and faculty members under review recommendation for promotion, tenure, or comprehensive five-year review and adds recommendations to evaluation portfolios.
    • Department chairperson forwards to dean’s office, evaluation portfolios for all faculty members under review for promotion, tenure, and comprehensive five-year review, along with recommendations of department chairperson and department PTR committee.

    November 30

    • Dean’s office verifies inclusion of all submitted documentation for tenure, promotion and five-year comprehensive review.
    • If applicable, dean submits reappointment recommendation to Provost and faculty member for faculty members in years 2-5 who were not recommended for reappointment by department PTR committee.

    December

    First Friday

    • As applicable, department PTR committee chairperson submits revisions of department PTR documents to college PTR committee chairperson.

    December 15 (USM-mandated)

    • If applicable, Provost notifies tenure-track faculty members in second academic year of service of non-reappointment to third academic year.  Faculty notified of non-reappointment shall remain on the faculty through the conclusion of the spring semester following the notification.

    January

    First Monday

    • First-year tenure-track faculty members submit to department chairperson evaluation portfolios for reappointment to second academic year.

    First Friday

    • College PTR committee chairperson submits to dean and faculty members under review recommendations for tenure and/or promotion along with vote counts and adds recommendations to evaluation portfolios.

    Second Monday

    • Departmentchairperson submits recommendations for reappointment or non-reappointment of first-year faculty members and notifies dean.
    • If applicable, department chairperson also forwards any recommendations for non-reappointment of first-year faculty members to department PTR committee chairperson.

    Third Friday

    • Third-year faculty members submit evaluation portfolio for third-year review to department chairperson.

    Fourth Tuesday

    • If applicable, department PTR committee chairperson submits reappointment recommendation to dean and faculty member pertaining to first-year faculty members not recommended for reappointment by department chairperson.

    February

    First Friday

    • Dean submits recommendations for promotion, tenure and comprehensive five-year review to the faculty members and adds recommendations to evaluation portfolios.
    • Dean’s office grants access to Provost ‘s office of evaluation portfolios for promotion, tenure, and comprehensive five-year review.

    Second Wednesday

    • If applicable, dean submits reappointment recommendation to Provost and faculty member pertaining to first-year faculty members who were not recommended for reappointment by department PTR committee.

    Second Friday

    • Department documents concerning promotion and tenure (with an approval form signed by all current faculty members) submitted to the University PTR committee.

    March

    March 1

    • If applicable, Provost notifies first-year faculty members of non-reappointment to second year. Faculty members thus notified remain on the faculty for the duration of the spring semester in which they receive the notification.

    First Friday

    • Department chairperson and Department PTR committee chairperson provide third-year faculty members with written and face-to-face feedback on performance toward tenure following third-year review.

    Third Friday

    • Provost’s recommendation letters for promotion and tenure, and decision letters for comprehensive five-year review conveyed to faculty members, department chairpersons, department and college PTR committee chairpersons, and deans.

    April

    Fourth Friday

    • President’s decision letter for promotion and tenure conveyed to faculty members, department chairpersons, department and college PTR committee chairpersons, and deans
