For Students, Staff and Faculty

Event and Conference Services schedules, plans and assists all clients to ensure campus events successfully project the university’s commitment to excellence. Campus rooms are available for use by students who are involved with University Registered Organizations (UROs) and for university events or meetings sponsored by campus departments.

1. Determine your needs in detail:

  • Consider your budget
  • Choose your date(s) carefully
  • Meet with key members of your organization
  • Submit your reservation request

2. Sign into 25Live and choose Create an Event to request a campus location.

25Live is a campus-wide room requesting/scheduling solution available to the university community.  Requests to use classrooms, performance spaces, and meeting and event spaces are sent via workflow to the various location approvers for their review and approval.

For our students:  To increase communication we've limited the number of members who may request space and plan events for their student organization.  Up to two student contacts per URO may serve as the point person and must first complete and pass the online assessment annually after July 1. The assessment is found on Blackboard. Once signed in you must enroll. Here's how:

To the left, select the Organization tab.  Select the Organization Catalog in the upper right corner. Type EVENTS in the search catalog field and click GO.  Mouse over EVENT_PLANNING, then click the drop down arrow. Click Enroll. Click Submit. Click OK. After enrolling, click Start on the first module to begin. Complete each assessment quiz with a score of 80% or more to move forward. After passing all assessments, complete and submit the Information Form. Allow up to one week for your records to be updated. Feedback will be posted in Blackboard to let you know.

For our faculty and staff:  After signing in to 25Live the first time, faculty and staff should send an e-mail message to to have your account moved into the appropriate access group.  Please provide your name, title, and department.

The Reservations Management unit works with each requestor to determine the best available room for the event requested and will discuss other options or requirements needed in order to have a successful event. A reservation confirmation is then forwarded to the requestor and an Event and Conference Services event manager is assigned to each event.

By working with you and understanding your needs, goals, and budget, the event manager will offer suggestions, guidance and solutions to meet or exceed expectations and create a successful, safe and memorable event. The event manager is available throughout the event.

Entertainment, Speakers, Vendors

Your guests will remember your event when you book entertainment, a guest speaker, a DJ, or performer.  However, it is important to complete an engagement contract at least 30 days prior to the event. Even more important - never sign a contract yourself. Contracts must only be executed by a University representative with delegated signature authority. Students and student organizations do not have the authority to enter into a contract.

Promoting Your Event

Advertising your confirmed event on the digital displays in the University Union and West Village Commons is easy. Contact Design + Graphic Services to have your event image professionally designed and created. Once completed, it will be uploaded to the digital displays.
